This Privacy Policy explains how K-IT Services ("K-IT Services", "we", "us", or "our") collects, uses, and protects information in connection with KVcare HRMS (the "Service"). It applies to organizations that use the Service and to the employees of those organizations whose data is processed through it.

1. Information We Collect

We collect information necessary to operate the Service, including:

Account information: name, work email, phone number, and login credentials.
Employee and HR records entered by your organization: personal details, employment history, attendance, leave, payroll, tax, and statutory compliance data.
Usage data: log data, device and browser information, and interactions with the Service, collected automatically to maintain security and improve performance.
Support communications: messages sent to our support channels.

2. How We Use Information

We use collected information to: provide, operate, and maintain the Service; process payroll and statutory filings on behalf of your organization; authenticate users and secure accounts; respond to support requests; and comply with applicable legal and regulatory obligations. We do not sell personal data to third parties.

3. Legal Basis for Processing

Where your organization is the employer, your organization determines the purposes for which employee data is processed (the "data controller"), and K-IT Services processes that data on your organization's behalf (the "data processor") to deliver the Service, in line with our Terms of Service.

4. Data Sharing

We do not share personal data with third parties except: (a) with subprocessors and service providers who help us operate the Service (e.g. hosting and infrastructure providers), under confidentiality obligations; (b) with statutory or government bodies where required for payroll, tax, or compliance filings initiated by your organization; (c) to comply with a legal obligation, such as a court order or regulatory request; or (d) with your organization's consent.

5. Data Retention

We retain personal and payroll data for as long as your organization's account is active, and thereafter for the period required to meet statutory record-keeping obligations under applicable labor and tax laws, or as otherwise agreed with your organization. You may request deletion of data no longer required to be retained by contacting us.

6. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction, including access controls, encryption in transit, and audit logging within the Service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on applicable law, you may have rights to access, correct, or request deletion of your personal data, or to object to certain processing. 8. Cookies and Similar Technologies

The Service uses essential cookies and local storage to keep you signed in and to remember preferences. We do not use these technologies for third-party advertising.

9. Children's Privacy

The Service is intended for use by working professionals and is not directed at children. We do not knowingly collect personal data from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified through the Service or by email. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
